YOUR 3-STEP RENEWAL PLAYBOOK 🎯

YOUR 3-STEP RENEWAL PLAYBOOK 🎯

Renew Early. Secure Goal 10. Build Your Legacy.

For corporate Toastmasters clubs, membership renewal is more than an administrative task.

It is a leadership responsibility.

With the 30 September 2026 renewal deadline approaching, corporate club leaders across District 74 are encouraged to take action early and put their clubs on the strongest possible path toward Distinguished Club status and DCP Goal 10.

The secret is simple: don’t wait until the deadline. Start now.

To help clubs stay organised and avoid the last-minute rush, District 74 has developed an official 3-Step Renewal Playbook for corporate club Executive Committees.

📋 STEP 1: VP MEMBERSHIP — AUDIT & CONFIRM THE ROSTER 👥

Target Date: Friday, 4 September 2026

The renewal process starts with an accurate membership roster.

The VP Membership should:

  • Audit the current roster and identify continuing, new and departing members.
  • Collect and confirm accurate details for all incoming members.
  • Finalise the membership list and hand it over to the President and Treasurer.

A clean and accurate roster gives the club a solid foundation for the renewal process.

💰 STEP 2: TREASURER — INVOICE & PAYMENT KICKOFF

Target Date: Monday, 7 September 2026

Once the membership numbers are confirmed, the Treasurer takes the lead on getting the payment process moving.

Key actions include:

  • Calculate membership dues at US$72 per member, with applicable proration for new members.
  • Check for any active Toastmasters International club credits before invoicing.
  • Submit the approved invoice to the company’s Procurement or Finance team without delay.

For corporate clubs, internal procurement processes can take time. Starting early gives your club room to deal with approvals, queries and processing delays.

🛡️ STEP 3: PRESIDENT · TREASURER · SECRETARY — TRACK & CONFIRM

Target Date: Tuesday, 15 September 2026

Getting the invoice submitted is not the finish line.

The President, Treasurer and Secretary should work together to track the payment through to completion.

Remember to:

  • Follow up with Finance every Monday and Friday.
  • Obtain official proof of payment as soon as the payment clears.
  • Submit the proof of payment and final membership roster to District 74.

This final step is about ownership and accountability. Don’t assume that because an invoice has been submitted, the process is complete. Track it. Confirm it. Close it.

⏰ THE HARD DEADLINE: 30 SEPTEMBER 2026

Wednesday, 30 September 2026, is the hard deadline.

But extraordinary club leaders don’t wait for the final day.

Early action reduces pressure, gives your corporate Finance and Procurement teams enough time to process payments, and helps ensure your club does not miss an important opportunity to achieve its goals.
